Trust and confidentiality form the basis of every successful coaching relationship. More information about my commitment to these aspects can be found in the Ashridge Code of Conduct for Coaches. This privacy statement describes how my company and I handle the privacy aspects of the data you share with us. It goes without saying that we respect the privacy of all individuals we come into contact with and ensure that their personal data is treated confidentially. The processing of personal data is carried out in accordance with the requirements of the General Data Protection Regulation (GDPR).
WHY DO WE PROCESS YOUR DATA?
We process personal data for effective business operations and to deliver our services optimally.
ON WHAT LEGAL GROUNDS DO WE PROCESS YOUR DATA?
We process personal data on the following legal grounds:
• The initiation or performance of an agreement; and/or
• A legitimate interest of ours or a third party; and/or
• Consent of the individual when processing special categories of personal data.
WITH WHICH EXTERNAL PARTIES DO WE SHARE YOUR DATA?
We share personal data with external parties only if it is necessary for the operational execution of our activities. The external party may use this data solely for the performance of the specific service. We always require these external parties to sign a processing agreement, including a confidentiality clause. WHERE DO WE STORE YOUR DATA?
We store personal data in various applications that comply with GDPR requirements.
HOW LONG DO WE RETAIN YOUR DATA?
We retain personal data for up to three years after the completion of the coaching process. Some data must be retained longer to comply with legal obligations. These are deleted after this extended period has expired. Other personal data may be retained for our regular business operations.
RIGHT TO ACCESS, RECTIFICATION, DELETION, AND PORTABILITY
We are responsible for the processing of personal data of our clients and other individuals we do business with. Everyone has the right to access, correct, or delete their data (right to be forgotten). Contact ruud@ruudhopstaken.com if you have any questions. You can receive your personal data in a digitally readable standard format.

In the event of a data breach, we will take appropriate measures to minimize the impact and will inform the affected parties and the Dutch Data Protection Authority if legally required.

We implement the principles of privacy by design and default by ensuring that the protection of personal data is built into our systems and processes by default.
INTERNATIONAL TRANSFER
If we transfer personal data outside the European Economic Area (EEA), we ensure appropriate safeguards to guarantee an adequate level of protection, such as using standard contractual clauses approved by the European Commission.
